USAP seeks co-host for 2025 USAP National Conference

Requests for a Pride Organization to Co-Host 2025 USAP National Conference

The United States Association of Prides is looking for a U.S.-based Pride organization or District to assist with co-hosting our 2024 annual conference. Letters of Interest are due to the USAP Secretary via email at by March 15, 2024. This invitation includes the requirements and responsibilities of the local co-host organization. Individuals interested in having their Pride or District co-host the 2025 conference should email for more information.

Local Co-Host Organization Requirements

  1. Must have been a full (paid) member organization of USAP for the past two years.

  2. Preference will be given to organizations submitting the Letter of Interest that have attended the 2023 and/or 2024 USAP Annual Conference.

  3. Members from the co-host organization must commit to joining the Conference Planning Committee.

  4. Demonstrated ability to recruit local volunteers to assist with onsite registration.

Local Requirements

  1. Must have an airport in good proximity to the hotel.

  2. Must have a partnering hotel offering reasonable rates for the conference for at least 125 on peak rooms, sufficient meeting space for conference functions (see hotel needs), and reasonably priced meal options.

Local Co-Host Organization Responsibilities

  1. Assistance with securing a hotel.

  2. Recruiting and coordinating local volunteers to support onsite conference activities.

  3. Assisting with planning evening receptions and social activities.

  4. Recruiting workshops from groups and individuals to provide local expertise on event planning and/or organizational management. (Local workshops should make up 20% of the workshops, with USAP recruiting the remaining workshops.)

  5. Assisting with local sponsors/support for evening and conference activities.

  6. If possible, a printer and office supplies for conference needs.

USAP Responsibilities

  1. Financial management and responsibility for the conference.

  2. Signing all contracts.

  3. Coordinating conference registration.

  4. Coordinating conference arrangements with the hotel.

  5. Coordinating workshops and plenaries.

  6. Securing sponsorships. USAP will work with the co-host organization on local sponsorships. USAP will coordinate any national sponsorships.

  7. Managing hotel relationships.

  8. Coordinating (with the co-host) evening receptions and social activities.
